The Leads You Never Saw: How Email Deliverability Quietly Costs Tradies Jobs

The most invisible leak in a trade business: someone fills in your contact form, the email silently fails or lands in spam, and they hire whoever replied, while you never knew they existed. Unlike a bad ranking or an ugly website, this failure produces no evidence, just a quiet form and a “must be a slow month”. Here is why it happens and the five-minute test to run today.

Why form emails silently fail

When your website sends “an email from you, to you”, it looks exactly like what spammers forge, so mail providers demand proof. The usual culprits:

  • Missing authentication (SPF/DKIM/DMARC): DNS records that authorise your website to send as your domain. Missing or wrong, and mail goes to spam or nowhere. Providers tightened this hard in recent years, old setups that “always worked” quietly stopped.
  • Cheap shared hosting with a burned reputation: your form’s mail comes from a server IP shared with hundreds of sites, one spammy neighbour and everyone’s mail is suspect.
  • The plugin default nobody changed: forms sending via basic PHP mail with no authentication, the setting that works in testing and fails in production.
  • Nobody watching: the form “worked when we launched”, then a hosting migration or DNS change broke it, and no error reached a human.

The five-minute test (do this today)

  1. Submit your own form from a personal Gmail or Outlook address (not your business one).
  2. Check inbox AND spam, note how long it took.
  3. Check the customer side: did the auto-reply/confirmation arrive, and from a real address?
  4. Repeat monthly. Deliverability is a state, not a setting, it drifts.
